Location & commitments

FT/PT/Temp/PRN role based at our Greenville (other) location, Monday-Friday, 8a.m. – 5 p.m.

Overtime may be required to ensure patients are taken care, tasks are completed, and calls are returned in a timely manner.

Weekend work is rare but can occasionally be necessary.


Supervision Received: Reports to Director of Human Resources.


Supervision Exercised: None.


Typical Physical Demands: Work is performed in an office environment. Requires sitting for long periods of time. Some bending and stretching required. Working under stress and use of telephone required. Manual dexterity required for use of computer keyboard. Involves contact with staff and public. Local travel to various worksites as needed may be required.

About the role:


The Human Resources Receptionist is a visible front desk position that is responsible for providing overall administrative department support of the day-to-day human resources and credentialing operations while providing superior customer service to our staff, physicians, patients, and visitors.


The ideal candidate will be a hard-working, dependable, and enthusiastic professional able to undertake a variety of office support tasks and work diligently and efficiently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The successful candidate will have exceptional organizational and time management skills and a strong sense of team commitment, which includes excellent follow-through and feedback to all applicable parties.


Responsibilities

  • Assume receptionist duties, greet public and refer them to appropriate staff members, answer phone and route calls as appropriate.

  • Assist HR Assistant and related staff with the recruiting process to include applicant tracking, administering candidate pre-interview assessments, scheduling and logistics and reference/background checks.

  • Take minutes for regular HR Staff Meetings.

  • Schedules, prepares and clean-up of meeting rooms, kitchen/break room and monitoring clean up after interviews and other applicable meetings.

  • Assist the credentialing area with all provider file creation; CAQH maintenance; regular reattestment maintenance for CAQH; hospital privilege packets and other related areas.

  • Assist HRIS with document scanning/naming and related items.

  • Route all incoming mail to employee’s mailbox. Date stamp if necessary.

  • Composes, copies, and distributes routine correspondence and memoranda, reports, documents, and printed forms.

  • Assist with maintaining personnel files and related areas to ensure ability to quickly retrieve information as needed. Maintains all personnel records in accordance with Physician East policies as well as state and federal laws.

  • Prepares outgoing mail/deposits for daily pickup from courier services.

  • Will be responsible to maintain calendar for the Director of Human Resources and any applicable staff assigned by Director.

  • Perform duties, such as maintain the HR bulletin board, creating the monthly employee birthday list, straightening magazines to maintain lobby/reception area, etc.

  • Perform administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents.

  • Complete all other duties as assigned by the Director of Human Resources


Candidate requirements

  • Essential in this position is having a high level of confidentiality, integrity, and trustworthiness.

  • Two years of administrative support experience, preferably in the healthcare field and/or human resources field. Associates degree preferred in related field and/or equivalent combination of education and experience.

  • Must have strong typing skills coupled with exceptional software experience (Microsoft Word and Excel) as well as database entry skills.

  • Experience with Microsoft outlook 365, Word, Excel

  • Demonstrated proficiency with Applicant Tracking Systems, payroll system strongly preferred, but not required.

  • Demonstrated ability to prioritize, multitask and meet deadlines in fast-paced stressful environment.

  • Must possess exceptional interpersonal communication skills and can create a favorable impression for the organization to all staff, physicians, patients, and the public.

  • Must display a high level of initiative and ownership with the ability to self-motivate. Strong attention to detail.

  • Ability to form positive and collaborative relationships with all levels in the organization.
