Responsibilities


SUMMARY:  


The Facilities Manager oversees the facility activities for the various credit union locations.  The position has managerial responsibilities and supervises the Facilities Coordinator.  Manages contractors and vendors as they relate to maintenance and facilities activities.  Negotiates and reviews vendor contracts.  Handles complex projects including build-outs, remodels, furniture acquisition, large maintenance requests, and preventative maintenance programs.  Handles ATM implementation and ongoing maintenance of ATMs. 


 


ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.


 



  • Works as project team lead on construction aspects of build-outs, remodels, and updates.  Coordinates with General Contractor and various vendors and trades as needed.  Initiates, reviews and processes orders for furniture and various equipment. Reviews and manages change orders and contractor draws.  Inspects and verifies construction quality.

  • Acts as the primary contact for the vacation property managers.  Oversees management, maintenance and remodel projects for the vacation properties.  Works with the property managers to insure both properties are well maintained and stocked.  Oversees guest scheduling, notifications and guest related issues.  Delegates related tasks to Facilities Coordinator as warranted.

  • Oversees and coordinates ATM installation, associated tasks to bring machines operational and ongoing maintenance escalations.  Works with Accounting to set up Fed and associated general ledger accounts.  Reviews and processes related vendor invoices.  

  • Acts as primary liaison with various facilities related contractors and vendors. Supervises contractors and vendors as they relate to maintenance and facilities activities.  This includes administration of the enterprise level Pitney Bowes postage machines and vendor relationship.

  • Acts as primary contact for corporate security system issues. This includes handling alarm calls and Change / Add / Delete of corporate alarm pad codes. Manages alarm permit acquisition and renewals for various locations.

  • Acts as primary contact for safe deposit boxes.  This includes coordinating box drills, relocations and SME inquiries.

  • Acts as primary fire warden at corporate.  Coordinates activities and training of volunteer fire wardens.  Works with building management as needed to integrate various emergency and safety procedures.

  • Manages the Facilities Coordinator position including supervision, performance reviews, goal setting, employee development, disciplinary actions and interviewing of candidates.

  • Works with Facilities Coordinator to prepare new procedures and update existing procedures for various facilities related tasks and duties.

  • Develops and maintains a list of trades such as Plumbers, Electricians, HVAC servicers, Painters, Roofers and handy persons by location as a resource for Branch staff to contact as needed.

  • Develops and maintains facility preventative maintenance, inspection procedures and schedules by location. 

  • Assists AVP – Products & Account Services with budget planning associated with facility and equipment needs.

  • Acts as backup system administrator for Fed-Ex, UPS, Staples and FMX.  This includes setting up new users, issuing user login credentials and deleting users.


 The salary range for this position is $56,000 - $70,000/yr. and based on experience. 


 


Qualifications


EDUCATION and/or EXPERIENCE


At least three years related experience and/or training; or equivalent combination of education and experience. One year or more of supervisory experience required.
